Short answer
That's the whole rule. The rest of this guide shows you exactly how to do it — with examples, a template you can copy, and the mistakes that get resumes rejected before a human ever sees them.
What is a "perfect" resume, really?
A perfect resume isn't a beautiful resume. It's a resume that does three jobs at once:
- Passes the ATS (applicant tracking system) — the software that filters resumes before humans see them.
- Survives the 6-second scan — the average time a recruiter spends on your resume in the first pass.
- Earns a second, deeper read by matching the recruiter's mental model of "this person can do the job."
If your resume fails step 1, no one sees it. If it fails step 2, no one reads it. If it fails step 3, no one calls you. Every rule below comes from one of those three jobs.
The 8-part structure of a perfect resume
Every strong resume in 2026 follows the same eight-part structure. Sections in this order:
| # | Section | Purpose |
|---|---|---|
| 1 | Header | Contact info + location + time zone |
| 2 | Headline | Your job title as a positioning statement |
| 3 | Summary | 3-sentence proof of who you are |
| 4 | Experience | 3–5 roles, outcome-driven bullets |
| 5 | Skills | Grouped, scannable, keyword-rich |
| 6 | Education | Degree + institution + year |
| 7 | Certifications | Only recent, only relevant |
| 8 | Languages | Especially critical for remote roles |
That's it. No "objective." No "references available on request." No hobbies section unless it directly supports the role.
How long should a resume be?
One page. Two pages only if you have 10+ years of directly relevant experience. Recruiters do not read page 2. If it doesn't fit on one page, cut the oldest role, tighten the bullets, or remove the "responsibilities" language.
What font should I use on a resume?
Use one of these five safe fonts. All are ATS-safe and render cleanly on any operating system:
- Inter — modern, clean, ideal for tech and marketing roles
- Helvetica / Arial — universally compatible
- Calibri — Microsoft default, safe for corporate roles
- Georgia — for legal, finance, or academic roles
- Source Sans Pro — free Google font, great for design-forward CVs
Body size: 10–11pt. Headings: 13–15pt. Name: 22–28pt. Do not use Comic Sans, script fonts, or anything with the word "handwritten" in it.
The header: what to include (and what to remove)

The time zone matters more than you think. A recruiter hiring for a US-based remote team wants to see "GMT-6" or "EST" so they know your working hours before they open the resume.
How to write a resume summary that actually works
The summary is the most-read and most-wasted three lines on any resume. Follow this exact formula:
[Role] with [X years] of experience in [specialty]. [What you're known for or your unique combination of skills]. [Your work style + a signal about the type of role you want].
Weak summary:
Motivated marketing professional seeking new opportunities to leverage my skills in a fast-paced environment.
Strong summary:
Omni-channel marketer with 4 years of experience running full-funnel campaigns across paid, organic, email, and lifecycle. Known for connecting strategy to execution — writing the copy, building the flows, launching the ads, and reading the dashboards. Remote-native and used to working with distributed teams across time zones.
The second version tells the recruiter what you do, what makes you different, and how you work — in three sentences.
How to write experience bullets that get interviews
This is where most resumes die. The fix is one simple rule:
Every bullet must contain a verb, an action, and a measurable result.
Weak bullet (task-based):
Responsible for managing social media accounts and creating content.
Strong bullet (outcome-based):
Grew Instagram following from 2K to 18K in under a year through a mix of UGC creator partnerships and daily educational content.
Same job. Same person. Completely different signal.
The formula
[Action verb] + [what you did] + [measurable outcome] + [context if useful]
Numbers to include whenever possible
- Percentages (growth, retention, conversion)
- Dollar amounts (revenue, budgets managed, cost saved)
- Time (months, days to launch, hours saved per week)
- Scale (number of people, accounts, campaigns, transactions)
- Rank (top 5%, #1 in region, best-performing month)
If you don't have exact numbers, estimate honestly. "Approximately 40% increase" is far stronger than no number at all.
How many bullets per role?
- Current role: 4–5 bullets
- Previous roles: 2–4 bullets
- Oldest role (5+ years back): 1–2 bullets
What is an ATS-friendly resume?
An ATS (Applicant Tracking System) is the software companies use to filter, rank, and store resumes. Common ATSs include Workday, Greenhouse, Lever, Ashby, and BambooHR. If your resume can't be parsed by the ATS, it never reaches a human.
To make your resume ATS-friendly:
- Use a clean layout for the parsing pass. Multi-column designs can work if built with proper structure, but simpler is safer.
- Save as PDF — not .pages, not .docx (unless requested), never JPG.
- Use standard section titles: "Experience," "Education," "Skills." Not "My Journey."
- Avoid text inside images or graphics. ATSs cannot read them.
- Avoid headers and footers — some ATSs skip them entirely.
- Include keywords from the job description honestly. Do not keyword-stuff.

How to tailor a resume to a specific job in 15 minutes
Never send the same resume to two different companies. Here's the 15-minute tailoring process:
- Read the job description twice. Highlight every skill, tool, and outcome mentioned.
- Rewrite your headline to match their exact job title (if it's honest).
- Rewrite your summary so sentence 1 mirrors the role and sentence 2 mirrors what they're looking for.
- Reorder your experience bullets so the most relevant one is first for each role.
- Update the skills section to include their exact tool names — if you use them.
- Adjust one line in each bullet to speak more directly to their industry.
Fifteen minutes, applied to 3 tailored applications, beats 20 blast applications every time.
What skills should I put on my resume?
Group skills so the recruiter can scan them in under 3 seconds. Use categories, not one giant blob.
Bad:
Skills: Excel, Google Ads, Meta Ads, HubSpot, GA4, Klaviyo, Notion, Figma, Zapier, Copywriting, SEO, Photoshop
Good:
- Paid & Performance: Meta Ads · Google Ads · LinkedIn Ads · TikTok Ads
- Content & SEO: Copywriting · SEO · Editorial planning · Notion
- Lifecycle & CRM: Klaviyo · HubSpot · Mailchimp · Customer.io
- Analytics: GA4 · Looker Studio · Meta CAPI · GTM
- AI & Tools: Claude · ChatGPT · Figma · Webflow · Zapier
Grouping shows depth in a category and lets recruiters instantly match you to their tech stack.
Do I need to list languages on a resume?
For remote roles targeting international companies: yes, always.
Especially if you're applying from Latin America, Eastern Europe, Africa, or Southeast Asia to US, UK, EU, or Australian companies. English proficiency is a hiring gate for most remote roles. Recruiters need to see it at a glance.
Use the CEFR scale (A1–C2) or common labels:
- C2 — Native / Bilingual
- C1 — Advanced (interview-ready)
- B2 — Upper-Intermediate (functional)
- B1 — Intermediate (conversational)
Anything below B2 for the role's working language is usually a disqualifier for remote roles.
The 10 mistakes that get resumes rejected
- More than one page (unless senior with 10+ years)
- Photos on US/UK/CA resumes (in most cases)
- "Objective" sections — replaced by "Summary" a decade ago
- Task-based bullets without outcomes or numbers
- Buzzwords with no proof ("results-driven," "team player," "detail-oriented")
- Inconsistent formatting — different fonts, sizes, bullet styles
- Typos and grammar errors — the fastest rejection
- Email addresses like partygirl99@ — use firstname.lastname@
- Listing every job you've ever had — cut anything older than 10 years unless critical
- Sending a .docx or .pages file when a PDF was requested
Should I use AI to write my resume?
Yes — as an editor, not a ghostwriter.
Use AI (Claude, ChatGPT) to
Do not use AI to
The strongest workflow: you write the draft, AI edits it, you rewrite the edits into your voice.

The one-line takeaway
